One fantastic way a sales system can support you is by boosting client engagement. In this episode, we’re diving into scheduling links. Yep, you heard it right, scheduling links. If you’re already using them, feel free to skip this episode and check out our previous one on dashboards, as data shows that not nearly as many people already have those set up.

But if you’re not using scheduling links, hang on, because this is one of the most underrated features of any sales system. The issue is that many folks, especially those with jam-packed schedules, like designers, tend to avoid using scheduling links because they feel it’s giving up control over their calendar.

However, I’d argue that it actually provides you with even more control over your time and your schedule because when used correctly, scheduling links streamline the entire scheduling process. No more endless back-and-forth emails to find a suitable meeting time. Scheduling links are the remedy to meeting booking hassle.

You know the scenario: someone suggests a meeting, and the planning process becomes a never-ending loop of “Are you available on this day? No? How about that day?” It’s time-consuming and frustrating, to say the least. And the worst part? Details like Zoom links or meeting locations often get overlooked. Plus, not everyone receives reminders unless you manually set them up after finally booking the meeting.

Scheduling links put an end to all that chaos, making it super efficient to set up meetings. When used properly, they have the power to change the game entirely. Imagine this: someone expresses interest in your services or a potential client wants to connect. You send them a scheduling link, and boom, they’re booked on your calendar. Not only are they scheduled, but they can also receive important materials in advance, like questionnaires or other relevant information. They get reminders leading up to the meeting and even have the flexibility to reschedule if needed. And on the big day, all you have to do is show up—effortless, right?

Scheduling Link Mastery: Controlling Your Calendar with Smart Planning

Now, let’s address the fear of losing control over your schedule. The first step is deciding when you want to hold meetings. Before engaging with any tool or system, you need to make some decisions. When are you available for design meetings or current client meetings? Scheduling links are quite versatile, and you might end up with different links for various types of meetings. However, you don’t need to start with a complex setup. Begin with a single scheduling link, let’s say, for introductory calls. Decide on the duration, like 20 or 30 minutes, and choose specific time slots when you’ll be available, such as Tuesday and Thursday mornings between 9 and 12. It’s okay to make exceptions if someone can’t find a suitable slot, but the key is that you only have to manage exceptions, not every single calendar invite.

So, once you’ve made those crucial decisions, it’s time to create your scheduling link in your preferred scheduler. Whether you’re using an all-in-one sales system like HubSpot or a tool like Calendly, Google Workspace, or Acuity, the choice is yours. The most important thing is to ensure that it syncs with your calendar. Once you’ve set it up, rest assured it will only present the time slots you’ve defined, blocking out any pre-existing commitments.

Once you’ve created your scheduling link, share it everywhere. Add it to your email signature, include it on your website’s contact page, and even put it in your social media bios. The idea is to make it super easy for people to book time with you. If you have multiple scheduling links, consider keeping a list of them in your phone notes for quick access.

Using scheduling links can drastically reduce the time and effort spent on scheduling meetings, freeing up more time for other work, like design and client relationships. This re-found time can allow you to better prepare for meetings, proactively manage existing projects, and truly connect with your clients and prospects. It’s a game-changer, and this feature of a sales system can significantly boost your profitability. So, don’t be afraid to give it a try!

In the next episode we’ll continue examining sales system functionality and how to best maximize it by digging into email integration. Yeah, I know it sounds mundane but it is actually one of the most powerful features. Listen in to learn more.
